We built Insightable Mind because we believe everyone deserves access to meaningful insights about their mental wellbeing — without cost, without complexity, and without compromising their privacy.

These Terms & Conditions ("Terms") govern your use of the Insightable Mind platform, including all assessments, results, and related services (collectively, the "Service"). We have written them to be as clear and honest as possible, because you deserve to know exactly how this works. By using the Service, you agree to these Terms.

If you do not agree with these Terms, please do not use the Service.

1. About the Service

Insightable Mind is a free platform providing online psychological and wellbeing assessments. There are no paid plans, subscriptions, or hidden costs. The Service will always be free to access. If we ever introduce optional paid features in the future, we will update these Terms and let you know clearly before anything changes.

The assessments and results provided through the Service are for informational and educational purposes only. They are not a substitute for professional medical advice, diagnosis, or treatment. If you have questions or concerns about your mental health, we encourage you to speak with a qualified health professional who can give you the personalised support you deserve.

2. Eligibility and Access

We want the Service to be as accessible as possible. We do not require account registration, and we do not block access based on age. You are responsible for determining whether the Service is appropriate for your own circumstances.

Access is entirely session-based. You start an assessment, complete it (or not), and that is your session. There is no login, no account, and no profile tied to you. Your experience begins and ends with your browser session.

3. What Data We Collect — and Why We Keep It Minimal

Privacy is not an afterthought for us. We have deliberately designed the Service to collect as little data as possible, and only what is necessary to make it work well for you.

3.1 Assessment Data

When you take an assessment, we collect:

  • Session data: a unique session identifier (UUID), the assessment identifier, an optional display name, an optional email address, and timestamps marking when your session started and ended.
  • Response data: your individual answers, including question number, answer index, score, and the time each response was recorded.
  • Scored results: calculated scores, severity ratings, percentile benchmarks, subscale breakdowns, interpretive explanations, identified strengths, and any relevant diagnostic or risk indicators — all linked only to your session identifier, not to your identity.

3.2 Identity Information

You can complete an assessment entirely without telling us who you are. We do not ask for your name during the main assessment flow. The only time identity information is collected is if you actively choose to share it: providing your email address to receive your results, or signing up to our waitlist where you may include your first name.

3.3 No AI Processing

Your data is never processed by artificial intelligence. We use no AI or machine learning tools in any part of the Service, and we have no integrations with AI providers. Every score, interpretation, and insight you receive is produced by validated, human-designed assessment logic.

4. How We Use Your Data

We use your data only for what you would reasonably expect, and nothing more:

  • To deliver your assessment results and generate your unique results link.
  • To email you a copy of your results, if you have chosen to provide your email address.
  • To keep you informed about product news or updates, if you have joined our waitlist.
  • To understand how the Service is being used in aggregate, through anonymised analytics, so we can keep improving it.

We will never sell your personal data. We will never use your data to serve advertising. Your information exists to serve you, not to generate revenue from you.

5. De-identified Data and Research

We believe that wellbeing data — when handled responsibly — has the potential to contribute to something larger: a better understanding of how people experience mental health across different contexts and communities. We are grateful for every person who uses the Service, and we want to be completely transparent about how aggregated insights from that use may inform our ongoing work.

Where we use data for research or product improvement purposes, it is always de-identified and aggregated. This means it cannot be traced back to you as an individual. We do not share identifiable data with researchers or third parties for this purpose. What we may use is statistical patterns — for example, how scores are distributed across a particular assessment, or how results vary by region — stripped entirely of any personal information.

If that ever changes, we will tell you clearly, update these Terms, and give you a meaningful choice. Transparency is a commitment we take seriously.

6. Data Retention

We apply a strict minimal-retention approach. We keep your data only for as long as it is needed to serve you, and no longer.

  • Session data: Your session exists only while your browser tab is open. Closing the tab ends and clears the session.
  • Results and response data: Your session, responses, and scored results are stored temporarily for the sole purpose of generating and delivering your results. As soon as your results email is triggered, your results URL and the underlying records is automatically deleted.
  • Email address: If you have provided your email address, it is retained in Mailchimp so we can send you further communications. You can unsubscribe at any time using the link in any email we send you, and your address will be removed.

7. Third-Party Services

We work with a small number of carefully selected third-party providers to operate the Service. We share only what is necessary, and we hold each provider to appropriate data handling standards. Here is exactly who they are and what they receive:

7.1 Analytics

PostHog: We use PostHog to collect anonymised pageview and page-leave events. This helps us understand which parts of the Service are working well and where we can improve. PostHog connects to its US-hosted infrastructure (https://us.i.posthog.com).

Google Analytics: We may optionally enable Google Analytics for additional usage insights, configured via our site settings. Where enabled, it collects standard anonymised analytics data such as page visits.

7.2 Email and CRM

Mailchimp: If you provide your email address, we pass the following to Mailchimp: your email address, the name of the assessment you completed, your results URL, and optionally your approximate city and country derived from your IP address (see Section 7.3 below). If you join the waitlist, we may also pass your first name. Mailchimp processes this data on our behalf under its own data processing terms. Your results URL is automatically deleted from Mailchimp once your results email has been sent.

7.3 Geolocation

ipinfo.io: When you subscribe to receive results by email or join the waitlist, we may use ipinfo.io to derive a city and country from your IP address. This approximate location is passed to Mailchimp as described above. We do not store your full IP address.

7.4 Infrastructure Monitoring

New Relic: We may use New Relic for server-side performance monitoring — things like response times and error rates — to help us keep the Service fast and reliable. No personal assessment data is shared with New Relic.

8. Data Storage and Infrastructure

Your data is processed and stored in Australia. The Service is hosted on Fly.io, with both our application and database (Fly Postgres) running in the Sydney region. We chose this deliberately to keep your data close to home.

Some of the third-party providers listed in Section 7 may process data outside Australia. Where this occurs, we take reasonable steps to ensure appropriate safeguards are in place and that your data is handled with the same care it receives here.

9. Cookies and Tracking

We do not use long-lived tracking cookies on the core assessment flow. Your session is managed with a temporary, privacy-preserving session identifier (UUID) that exists only for the duration of your visit.

Analytics providers (PostHog and, where enabled, Google Analytics) may use cookies or similar technologies in accordance with their own policies. Administrative access to our backend is managed via a secure, HTTP-only signed session cookie. This does not affect you as a user of the public Service.

10. Your Responsibilities

We have built this Service in good faith for people who want genuine insight into their wellbeing. In return, we ask that you use it in good faith too. You agree not to:

  • Attempt to access, interfere with, or disrupt the Service or its infrastructure.
  • Use the Service to collect or harvest data about other users.
  • Submit false or misleading information in a way that could undermine the integrity of the assessments.
  • Use the Service in any manner that could harm, disable, or impair it or the systems it runs on.

11. Intellectual Property

All content within the Service — including assessments, scoring logic, interpretive text, and supporting materials — is the intellectual property of Insightable Mind or its licensors. You are welcome to use the Service for your own personal insight. However, you may not reproduce, distribute, modify, or create derivative works from any of this content without our prior written consent.

12. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

Insightable Mind does not warrant that the Service will be uninterrupted, error-free, or free of harmful components.

Assessment results are for informational and educational purposes only. They do not constitute professional medical, psychological, or clinical advice, and should not be treated as a substitute for guidance from a qualified professional.

13. Limitation of Liability

To the maximum extent permitted by applicable law, Insightable Mind and its affiliates, officers, employees, agents, and licensors shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, arising out of your use of or inability to use the Service.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable Australian law, including under the Australian Consumer Law.

14. Governing Law

These Terms are governed by the laws of New South Wales, Australia. Any disputes arising in connection with these Terms or the Service are subject to the exclusive jurisdiction of the courts of New South Wales, Australia.

15. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the effective date at the top of this document. For material changes, we will do our best to notify you clearly. Your continued use of the Service after any update constitutes acceptance of the revised Terms. We encourage you to check back periodically.
